Carrier verification for factoring underwriting and verification teams

If you underwrite or verify carriers at a factor, you already know the pattern: the authority checks out, the insurance is active, the carrier has years of clean history, and the person on the other end still isn't who they say they are. Verified Payee is built for that gap.

It checks the person (ID and selfie matched to FMCSA officer records), the bank account (holder matched to the carrier's legal name), FMCSA authority and insurance, and UCC and prior-factor status. Each fact lands in a case file with its source and a timestamp. Every later bank or ownership change is re-verified before the next ACH.

What we hear, and what helps

  1. 01

“Clean authority, clean insurance, and it was still a hijack.”

Record checks can't see who's asking. Verified Payee ties the applicant to an officer on the carrier's FMCSA record. The free carrier risk check adds shared phone, email and address links to the record view.

  2. 02

“Applicants send ID photos and I can't tell if they're real.”

Verified Payee matches a selfie taken during verification to the ID, rather than trusting an emailed photo, then checks the name against the officers FMCSA has on file.

  3. 03

“Bank-change requests come in by email, and the client wants it done today.”

The change holds the next payment and sends a re-verification to the verified officer, so the decision isn't made under time pressure by whoever is at the desk. The remit-change checklist covers the manual version.

  4. 04

“When something goes wrong, our audit trail is a notes field.”

Each Verified Payee case file records what was checked, the source of each fact and when, so you can show your process to a partner, a bank or an auditor.

What lands in the case file

  • Identity: ID and selfie result, and the FMCSA officer it matched
  • Bank ownership: account holder name compared with the carrier's legal name
  • FMCSA: authority and insurance status at the time of the check
  • UCC and prior factor: filings found, and any release needed
  • Re-verifications: every bank, remit-to or ownership change and its outcome

Red flags your team should still watch

No single check replaces judgment. Keep watching for recent changes to a carrier's phone, email or officers, related entities sharing contact details, sudden volume from a long-dormant authority, and documents that don't match the load. Our guides on carrier identity theft, change-of-ownership fraud, chameleon carriers and fake rate confirmations, BOLs and PODs go through each.

The decision stays with you

Verified Payee is decision support. It tells you what passed, what failed and why, and your credit policy decides what to fund. It doesn't detect double factoring or audit loads, so keep your UCC search, NOA and debtor verification steps in place.

Frequently asked questions

Does a pass mean the carrier is safe to fund?

No. A pass means the person matched an officer, the account matched the carrier and the record checks came back as shown. Credit, load verification and debtor risk are still your team's call.

What happens when a re-verification fails?

The payment to the new account stays on hold and the case is flagged for your team. Money only goes to an account that passed the bank-ownership check.

Does Verified Payee check brokers and debtors?

No. It verifies your client, the carrier. For debtors, see broker credit and days-to-pay and how to verify a freight broker.

Can we see it before committing to a pilot?

Yes. The demo walks through an onboarding and a spoofed bank-change request, with simulated data labelled as such.
