# Factoring software for small factors: a buyer's guide

*What a back-office system does, what sits next to it, what vendors publish about price, and the questions that separate a demo from a decision.*

Category: Running a factor. Published 2026-10-19, updated 2026-10-19. By Isaac Welch.

## Key takeaways

- Freight factoring software usually means a back-office system of record (schedules, advances, reserves, cash application, collections) plus separate tools for credit, load verification and payee verification.
- Among FactorSoft, CADENCE, FactorFox, FactorView, FactorCloud and WinFactor, none publishes a full price list on its own website as of 2026-10-19.
- The most important control to test in a demo is who can change a client's bank account, what evidence the system requires, and whether the change is logged and approved by a second person.
- Verification tools sit next to the back office rather than replacing it: FactorGenie audits loads, Triumph checks the factor of record, and CarrierKYC verifies the payee.

## What is freight factoring software?

Freight factoring software is the back-office system a factor uses to record client and debtor accounts, purchase invoices, fund advances, hold reserves, apply broker payments and run collections, usually with a client portal on top. It is the factor's ledger and system of record. Most small factors then add separate tools for credit data, load verification and fraud checks.

Search results for "factoring software" mix two different products: systems for factoring companies, and apps that help small businesses sell invoices. This guide covers only the first. It describes vendors using only what they publish, marks unpublished pricing as "Not published," and was checked on 2026-10-19.

## What does a factoring back-office system need to do?

- [ ] Client and debtor master records, with credit limits and [concentration limits](https://carrierkyc.com/glossary/concentration-limit).
- [ ] [Schedule of accounts](https://carrierkyc.com/glossary/schedule-of-accounts) intake, from the portal, email or a carrier app.
- [ ] A fee engine that handles flat and tiered fees, minimums and add-on charges.
- [ ] Advance, [reserve](https://carrierkyc.com/glossary/reserve), [chargeback](https://carrierkyc.com/glossary/chargeback) and release accounting that ties out to the bank.
- [ ] Cash application for checks, ACH and lockbox, including short pays.
- [ ] Collections queues, debtor notes and aging reports.
- [ ] [Notice of assignment](https://carrierkyc.com/glossary/notice-of-assignment) and letter-of-release tracking per client and debtor.
- [ ] Verification tracking: who confirmed each load, with whom, and when.
- [ ] ACH or payment file generation, with controls on bank-account changes.
- [ ] Reporting for your lender or investors, and data export you control.

If a system can't do the accounting items cleanly, nothing else matters. Reserve and chargeback errors compound, and a back office that can't tie to the bank will cost you more in staff time than any license fee.

## Which back-office systems do small factors use?

*Back-office systems, described from vendor and listing pages (checked 2026-10-19)*

| System | What the vendor or listing says | Pricing |
| --- | --- | --- |
| FactorSoft (Jack Henry) | IFA's Commercial Factor reported the 2021 launch of the FactorSoft web portal, used by "more than 175 lenders in the U.S." It is white-labeled, offers 24/7 mobile access for clients, and is hosted in Jack Henry's private cloud. | Not published |
| CADENCE | Capterra's listing describes it as ProfitStars commercial portfolio software for factoring, invoice discounting and asset-based lending on one platform, licensed client-installed, hosted or cloud. We found no current product page on a vendor site. | Not published |
| FactorFox | One subscription with a white-label client portal and integrations including QuickBooks Online and Xero. FactorFox says debtor payment behavior is drawn from its network. | Priced on monthly factored volume, no per-user fees; FactorFox says list prices are on Microsoft Marketplace |
| FactorView | Client portal for submitting invoices and pulling reports, built-in invoice verification tracking, and partners including Triumph, TransCredit, Ansonia, Transflo and Peruse. | Quoted per account by invoice volume and team size; "no long-term contract required" |
| FactorCloud | Cloud-based; automates schedule creation and cash application; client portal; "16 integrations included," among them QuickBooks, Tank Payments and FactorGenie, plus a REST API. It says it is SOC 2 compliant. | Not published; "no setup fees" and free migration (vendor claim) |
| WinFactor | Established 1995. Client portal, collections, document management, "AutoBuy" touchless funding, rate sheet verification and Credit Alliance, where factors share crowdsourced credit data. | Not published |

Vendor claims are just that. Ask for a reference customer of your size and ask to see any security report a vendor mentions, rather than taking a badge on a homepage as proof.

## What tools sit next to the back office?

The back office records what happened. The tools around it decide whether a transaction should happen at all. Small factors usually assemble some version of this stack:

*Adjacent tools by job (vendor descriptions)*

| Job | Examples | What they check |
| --- | --- | --- |
| Debtor credit | Ansonia and TransCredit (both listed as FactorView partners); WinFactor Credit Alliance | Will the broker pay, and how fast. See [broker credit and days-to-pay](https://carrierkyc.com/guides/broker-credit-and-days-to-pay). |
| Load audit and verification | FactorGenie AI Audit & Verification (priced per load, per FactorGenie); Peruse (listed by FactorView) | Does the rate confirmation match the BOL and POD, and did the broker confirm the load? |
| Factor-of-record and NOA checks | Triumph NOA Management | Triumph says its network "matches the factor of record to a carrier's submitted paperwork" and that "if it doesn't match, we don't pay." |
| Carrier authority and history | FMCSA data; our free [carrier check](https://carrierkyc.com/tools/carrier-check) | Is the USDOT active, how old is the authority, and does its contact data link to other carriers? |
| Payee identity and bank ownership | CarrierKYC Verified Payee (early access) | Does the person onboarding control the carrier, and does the bank account belong to it? |

FactorGenie deserves a note for small factors: it says its credit tool, white-label carrier app, collections and cash application are "free for every factor up to 2,500 loads per month," and it integrates with FactorSoft, FactorCloud and FactorView. Our [FactorGenie comparison](https://carrierkyc.com/compare/factorgenie) covers where it and CarrierKYC overlap.

## How should a small factor evaluate factoring software?

*Evaluation criteria, roughly in order of how expensive they are to get wrong*

| Area | What good looks like | Why it matters |
| --- | --- | --- |
| Accounting accuracy | Reserves, fees and chargebacks reconcile to the bank daily | Errors here become client disputes and audit findings |
| Fee engine | Your exact flat, tiered and add-on schedules, without workarounds | Mispriced invoices leak margin quietly |
| Bank-account change control | Role permissions, dual approval, evidence attached, full audit log | A changed payee account is the shortest path from fraud to loss |
| NOA and release tracking | Per debtor, with dates and proof of delivery | Priority and collection disputes turn on these records |
| Integrations and API | Credit, verification, payments and accounting connect without re-keying | Re-keying creates errors and hides the audit trail |
| Data ownership | Full export in a usable format, at any time, without a fee | You will switch systems eventually |
| Security | MFA for staff and clients, role-based access, a current third-party report | Your portal is a target for account takeover |
| Support and migration | Named contacts, documented migration plan, parallel run | Cutovers fail on balances, not features |
| Price model | Fits your volume curve: per volume, per user, per invoice or flat | Volume pricing punishes growth; per-user pricing punishes staffing |

> **Caution: Test the bank-change workflow live** In the demo, ask the vendor to change a client's bank account while you watch. Note who can do it, whether a second person must approve, what evidence is stored, and whether the change shows on the next payment file with a warning. Then compare it with the [remit-change checklist](https://carrierkyc.com/tools/remit-change-checklist).

## What questions should you ask factoring software vendors?

1. What is the total first-year cost for our volume, including setup, migration, training and integrations?
2. How does pricing change if our volume doubles, or if we add two staff?
3. Show us a tiered fee with a "part of a period" rule, a short pay and a chargeback, end to end.
4. Who can change a client's bank account, and can we require two approvers and a waiting period?
5. Is every change to bank details, fees and limits logged with user, time and old value?
6. Which credit, verification and payment integrations are live today, and which are on the roadmap?
7. Do you have an API, and is it included in our price?
8. How do we export all of our data, in what format, and is there a fee?
9. Do you support MFA for staff and for client portal users?
10. Can we talk to two customers of our size who migrated in the last year?
11. What is your support response time, and who answers?
12. What is the contract term, and what happens to our data if we leave?

## What does factoring software cost?

Most vendors quote privately, so budget by asking for a written all-in quote rather than by comparing list prices. Here is what each publishes about pricing on its own site:

*Published pricing information (checked 2026-10-19)*

| Vendor | Published pricing |
| --- | --- |
| FactorSoft | Not published |
| CADENCE | Not published |
| FactorFox | Model published (monthly factored volume, no per-user fees); list prices referred to Microsoft Marketplace |
| FactorView | Not published; quoted per account |
| FactorCloud | Not published; says no setup fees and free migration |
| WinFactor | Not published |
| FactorGenie | Free tier up to 2,500 loads/month; audit priced per load; AI phone agents from $0.08 per minute |
| Triumph NOA Management | Not published |

Third-party software directories sometimes list prices for these products. Treat them as leads to confirm, not quotes: they are often stale and rarely include setup or integration costs.

## Where does CarrierKYC fit in a factoring software stack?

CarrierKYC is a verification layer that sits next to your back office. It does not do schedules, cash application, collections or accounting, and it is not a replacement for any system above. Verified Payee checks that the person onboarding controls the carrier and that the bank account belongs to the carrier, using identity, bank-ownership, FMCSA and UCC checks, and re-verifies every bank or ownership change before the next ACH.

The output is a case file you keep with the client record in whatever system you use. We are in early access, and pilots are open to small factors; if that gap is in your stack, a [pilot](https://carrierkyc.com/pilot) is the way to test it.

## How do you switch factoring systems without losing control?

1. **Freeze the master data** Export clients, debtors, open invoices, reserves and fee schedules, and agree a cutover date.
2. **Reconcile before you migrate** Tie open receivables and reserve balances to the bank and to your lender's borrowing base.
3. **Run in parallel** Process at least one full funding and collection cycle in both systems and compare every balance.
4. **Re-verify payee bank accounts** A migration is a bulk change to bank data. Confirm each client's account against your verified records instead of trusting the import.
5. **Re-issue access** New client portal logins with MFA, and remove old system access for staff and clients on cutover day.

For a new factor choosing a first system, start with the questions in [how to start a freight factoring company](https://carrierkyc.com/guides/how-to-start-a-freight-factoring-company) and the IFA's vendor directory.

## Frequently asked questions

### Do I need factoring software if I only have a few clients?

You can start on spreadsheets and accounting software, but reserves, fees and chargebacks get error-prone quickly, and spreadsheets have no access controls or audit log on bank details. Move to a real system before your volume makes reconciliation a daily fight.

### Is FactorGenie a back-office system or an add-on?

FactorGenie describes itself as integrating with and upgrading your existing factoring management system, naming FactorSoft, FactorCloud and FactorView. In practice most factors run it alongside a back office rather than instead of one.

### Can I use general accounting software like QuickBooks for factoring?

Accounting software can keep your books, but it doesn't natively handle schedules, advances, reserves, tiered fees or debtor collections. Several factoring systems integrate with accounting packages instead; FactorFox and FactorCloud both list QuickBooks.

### Does any back-office system verify that a bank account belongs to the carrier?

We didn't find a back-office vendor that publishes bank-ownership verification as a feature. Ask each vendor directly how bank changes are controlled and what evidence is stored.
