# CarrierKYC vs SAFER lookups and a spreadsheet: the manual process

Facts last verified 2026-10-19.

The most common carrier verification system at a small factor isn't software. It's a SAFER lookup, a phone call to the number on file, a voided check or bank letter, a UCC search, and a row in a spreadsheet. It costs nothing but staff time, and a careful person running it catches a lot.

This page compares that process with Verified Payee honestly, including when the manual process is all you need.

| | CarrierKYC | SAFER lookups and a spreadsheet |
| --- | --- | --- |
| Cost | Free 60-day pilot, then $399/mo with 20 onboardings; $25 per extra; re-verifications included | Free, plus staff time |
| Verifies the applicant's identity | Yes: ID and selfie, matched to FMCSA officer records | A copy of a license; sometimes a video call |
| Verifies bank-account ownership | Yes: account holder matched to the carrier's legal name | A voided check or bank letter, both easy to fake |
| Re-verifies remit-to and bank changes | Yes, before the next ACH goes out | Only if your team follows a written call-back rule |
| FMCSA authority and insurance | Checked at onboarding; not a continuous monitoring feed | A SAFER lookup, one carrier at a time |
| UCC and prior-factor check | Yes, UCC and prior-factor check at onboarding | A manual search at the state filing office |
| Audit trail | A case file with each fact, its source and a timestamp | Whatever someone typed into the spreadsheet |
| Best for | Factors onboarding carriers they haven't met | Very low volume with long-standing clients |

## What the manual process looks like

1. **SAFER lookup** Search the FMCSA Company Snapshot by USDOT, MC/MX number or name. It's free, one carrier at a time, and shows identification, size, commodities and safety record.
2. **Call the carrier** Call the phone number on the FMCSA record and confirm the person you're dealing with.
3. **Collect bank details** Ask for a voided check or a bank letter and copy the routing and account numbers into your system.
4. **Run a UCC search** Search the state filing office for liens and prior factors. Our [UCC search directory](https://carrierkyc.com/tools/ucc-search) lists every state's portal.
5. **Log it** Record what you checked, and when, in a spreadsheet or your back-office notes.

## What it catches

Done consistently, the manual process stops the easy cases: carriers with inactive authority, lapsed insurance or obvious paperwork problems, and clients with an existing lien you'd have to release first. Our [carrier vetting checklist](https://carrierkyc.com/guides/carrier-vetting-checklist-for-factors) turns it into a repeatable routine, and the free [carrier risk check](https://carrierkyc.com/tools/carrier-check) adds authority age, revocations and shared contact details to the SAFER view.

## What it misses

- **The phone number can belong to the fraudster.** If someone has taken over a carrier's FMCSA contact details, the call-back goes to them.
- **A voided check is a picture.** It shows a name and an account number; it doesn't prove the carrier owns the account.
- **A license photo isn't a person.** Practitioners have described photoshopped "holding my ID" images sent to factors.
- **Bank changes arrive by email.** Without a written rule, the urgent request gets processed by whoever is at the desk.

FMCSA's Motus system now adds identity verification for registrants through Login.gov, which should make fake new registrations harder. Our read is that this pushes fraud further toward taking over established carriers, which the manual process is weakest at. See [Motus explained](https://carrierkyc.com/guides/fmcsa-motus-explained).

## When the manual process is enough

If you onboard a handful of carriers a year, know most of them personally, and never change bank details without a call-back to a number you already had, the manual process is a reasonable control. Tighten it with the free [remit-change checklist](https://carrierkyc.com/tools/remit-change-checklist). When volume grows, or you start funding carriers you've never met, that is when an identity and bank-ownership check earns its cost.

## When SAFER lookups and a spreadsheet is the better choice

Stay with SAFER, a phone call and a spreadsheet if you onboard only a few carriers a year, know most of your clients personally, and enforce a written call-back rule on every bank change. The manual process costs nothing but time, and at very low volume a careful person with a checklist is a reasonable control. Our free remit-change checklist and carrier risk check will tighten it without a subscription.

## Frequently asked questions

### Is a voided check proof that the carrier owns the bank account?

No. It's an image with a name and account number printed on it, and it can be altered or fabricated. Bank-ownership verification confirms that the account holder's name matches the carrier's legal name.

### Does SAFER show who controls a carrier?

The SAFER Company Snapshot shows a company's identification, size, commodities and safety record. It can't confirm that the person emailing or calling you is an officer of that company.

### Doesn't Motus fix carrier identity?

Motus adds Login.gov identity verification for people registering with FMCSA. It doesn't verify who is emailing your team today, or whose account is on the voided check you were sent.

### Can I keep my spreadsheet and add Verified Payee?

Yes. Verified Payee sits next to whatever you use today, spreadsheet or factoring software, and adds the identity and bank-ownership checks. CarrierKYC's founding pricing is a free 60-day pilot, then $399 a month with 20 verified onboardings included, $25 for each extra onboarding, and payee-change re-verifications included. See [pricing](https://carrierkyc.com/pricing).
